ASMBS Poster Presentation Instructions

All posters will be displayed in the Exhibit Hall (Hall A1/A2) of the Georgia World Congress Center.

Poster Display Dates: Wednesday, 11/13, through Friday, 11/15.

Exhibit Hall Hours:

    • Wednesday, November 13th: 9:00am – 4:00pm
    • Thursday, November 14th: 10:00am – 3:30pm
    • Friday, November 15th: 10:00am – 3:30pm

Set-Up and Tear-Down Instructions:

    1. Access to the Exhibit Hall for poster set-up will be available during the following times:
      • Tuesday, 11/12 from 3:00pm – 5:00pm
      • Wednesday, Nov. 13, from 6:00am – 8:00am
    2. Posters are required to be in place by the first break on Wednesday morning, 11/13, at 9:15am.
    3. Posters must be removed following the afternoon break on Friday, 11/15, and are not to be removed prior to this break. Any posters NOT removed by 5:00pm Friday, Nov.15th, will be discarded.

Rules for Presentation

  • There are no required times for official poster presentations; however, poster presenters are encouraged to be standing by your poster during the breaks and lunches to be able to discuss your poster with attendees.
  • If you have accepted this invitation and then do not display your poster, both the poster presenter and first author will be disqualified from presenting at ASMBS for one year.

Poster Sizes

  • Poster sizes may be up to, but are not to exceed, 8-feet-wide by 4-feet-high. An 8’-wide x 4’-high cork display board will be available for mounting posters. The poster does not have to fill the entire surface; however, it should not be any larger than the surface. Thumb tacks will be provided.

Compliance Criteria

    1. Posters must be free of commercial bias: (1) All treatment/management recommendations must be based on strongest levels of evidence available; (2) Presentations must give a balanced view of therapeutic options. Use of generic names will contribute to this impartiality. If the CME educational material or content includes trade names, trade names from several companies, where available, should be used, not just trade names from a single company.
    2. Do not use corporate brand names or organizational logos on your poster.
    3. For compliance with HIPAA Privacy Rules, all information that could potentially be used to identify a patient must NOT be included in the presentation/poster.
    4. Posters must not contain any offensive comments or images (i.e., vulgarities, obscenities, etc.).

Abstracts for posters will be published in the Abstract Book and placed on the OW website one week prior to the meeting.

Abstract presenters and authors, whether oral or posters, in the Scientific Sessions at the 30th Annual Meeting of the ASMBS at ObesityWeek are required to register for the Scientific Sessions, and are expected to pay the registration fee.

OW Poster Printing Service

TOS Poster Presentation Instructions

The Presentation and Publication Number for your abstract can be found in the acceptance e-mail which was previously sent to you. Each abstract will be displayed in one of the Poster Presentation Sessions and published in electronic abstract book under the Presentation and Publication number.

Poster Display Schedule and Onsite Logistics

Your poster will be displayed on only one day during the meeting as indicated in your acceptance letter. You must set-up and remove your poster only during the scheduled times.

You may display your poster on your assigned day and on your assigned board only. You must register and have a badge prior to entering the exhibit hall for poster set up. The poster area will have clear signage and maps will be available at the entrance. TOS staff will be available to assist with locating your poster board.

Poster Printing

One option for poster printing is to use ObesityWeek’s online poster service. Poster presenters will have the option to create a poster online and have it shipped directly to Atlanta. Poster Design and Presentation

  1. The poster board surface area is 8 feet wide (horizontal) by 4 feet tall (vertical). While there is no “required” poster size, your poster must fit within the allotted poster board space.
  2. While it is not a requirement to print the submitted abstract on your poster, some authors find this helpful for attendees.
  3. Prepare a heading, using large-size type, to appear across the top of the board listing the title and authors. Preferably, the lettering for this section should be at least one inch (1″) high.
  4. The material must be readable from distances of three feet or more. You are strongly encouraged to use type at least 1/4 inches high (22 point type minimum), to ensure legibility. Make all print very dark (preferably block style) on a white or very light colored background. All material should have a flat finish, not shiny or glossy, to improve legibility. Write your presentation as concisely as possible, keeping the number of pieces to a minimum. Charts, drawings, and illustrations should be similar to those you would use in making slides.
  5. It is recommended that the sections of your presentation be organized and displayed in a manner that flows from left to right to permit viewers to follow the progress of your work. Your poster should be self-explanatory so that you are free to supplement the information and discuss particular points by inquiry during the poster session. The poster presentation session will provide a more intimate forum for informal discussion, but this becomes more difficult if you are obliged to devote most of your time explaining your poster to a succession of visitors.
  6. Please include name, address, and phone number on your poster (or distribute business cards) in case someone wants additional information.
  7. You must use pushpins to attach your materials to the poster board. Do not use glue, tape, or staples. Pushpins will be available at the front of the poster hall, but you are encouraged to bring your own.
  8. Do not write or paint on the poster boards themselves.
  9. The Obesity Society is not responsible for posters remaining after the published dismantling deadline. Unclaimed posters will be discarded after the published dismantling time above.
  10. Personal or professional advertising in the poster hall and/or during poster presentation sessions is prohibited.
